A missed call doesn't have to be a lost customer.

The moment a call goes unanswered, an automatic text-back keeps the conversation alive — and after the job is done, a review request goes out while the work is still fresh. Set up on your business number, worded in your voice, scoped in writing.

Who it's for — and the problem it solves

Who it's for: owner-run businesses where the phone rings while hands are busy — salons, clinics, shops, and field-service teams that can't always reach it.

The problem: a missed call usually means the caller tries the next business. A prompt, polite text-back keeps the conversation — and the booking — with you, and gives your team the caller's need in writing when they pick it up.

Tuesday, 10:14 a.m. You're with a client. The phone rings.

A fictional Henderson salon, a fictional caller. Play the same missed call down both lanes — what usually happens, and what the setup does instead.

What usually happens

The missed call, left to chance:

10:14The call rings out — everyone is with a client.
10:15The caller hears voicemail. Some leave a message; many just dial the next salon on the list.
12:40At a break, someone returns the call. If it connects, the conversation restarts from zero.
LaterAfter the appointment that did happen, nobody asks for a review — the moment passed.

With missed-call recovery set up

The same call, answered by text in the moment:

10:14The call is missed — and the text-back goes out automatically, in the salon's name and wording.
Text-back · automaticSorry we missed your call — this is Desert Bloom Salon. What can we help you book?
CallerHi! Anything open Thursday afternoon for a cut?
Text-backThanks — we've flagged Thursday afternoon for the team, and they'll confirm the exact time with you here.
12:40The team picks up a live thread with the details attached — not a cold callback.
AfterOnce the appointment is complete, a review request goes out automatically — written in the salon's voice, timed while the visit is fresh.

Run your own rough numbers

Three guesses of yours and one multiplication. Change any number — the output changes with it, because the output is only ever your inputs.

$1,105per month, at your guesses

Illustrative calculator. This demonstrates the calculator concept with hypothetical math on your own inputs. It is not a measurement of your business, not a forecast, and not a result any client has reported — it cannot know your numbers; only your phone bill and your books can.

What a setup includes

  • Automatic text-back to missed callers, in your business's name and approved wording
  • Reply handling that captures what the caller needs and routes it to you or your team
  • Review-request automation after a completed job — your wording, your timing
  • Setup on your number and your accounts, with the messaging registrations the carriers require handled as part of the scope
  • Handover documentation: the wording, the rules, and how to change them

Support and limitations

  • It starts conversations; people finish them. The text-back buys the caller a reply in the moment — your team still does the booking and the work.
  • Messaging has rules. Consent, opt-outs, and carrier registration are part of a proper setup and are scoped in writing, not waved at.
  • No promised recovery rate. Anyone who guarantees how many callers a text-back will convert is inventing a number. The calculator above is honest for a reason: your mileage is yours.
  • Consent and opt-out are built in. Automated texts go to people who called your business, carry the required opt-out handling, and stop when someone opts out — the messaging rules are part of the setup, not an afterthought.
  • Priced by scope. The setup is quoted in writing against your number, your call volume, and the flows you want — no shelf price.

What you'll need to launch

  • A compatible phone setup (required). Most small-business lines and carriers can support missed-call text-back; your written scope confirms compatibility with your number and carrier before anything is built.
  • A messaging provider account (required). Texts are sent through a messaging provider under your account; the account is registered properly (including carrier registration) as part of the setup.
  • Messaging charges (scope-dependent). Per-message and number fees are the provider's, paid by you directly, and scale with how many texts are sent. Your scope estimates them at your call volume.
  • Your follow-up owner (required). A person or team who works the replies — the automation starts the conversation, your people finish it.

“No surprise platform costs. Before work begins, we'll explain any required third-party accounts, subscriptions, usage charges, or publishing fees. Where practical, these accounts are established in your name so you retain control.”

Pricing and ongoing costs

The setup is priced by written scope against your number, your call volume, and the flows you want — no shelf price.

Ongoing costs: the messaging provider's per-message and number fees, paid by you to the provider. Review-request automation, if your scope includes it, runs on the same rails.

Ownership, handover, and support

  • Yours: the number, the provider account, the message templates, and the conversation records they produce.
  • Handover includes: documentation of the flows, the templates, and how to change wording or pause the automation.
  • Scope and changes: new flows or new numbers are new written scopes, priced before they are built.
  • Support. If something we delivered doesn't do what the written scope says, we fix it — that's a defect, not a new request. Anything beyond the scope is quoted in writing before work begins.
  • If we part ways: the setup keeps running on your accounts; only our optional support ends.
